RETIREMENT PROGRAMS
RETIREMENT PLAN COMMITTEE ATTENDANCE REQUIREMENT AND MEMBERSHIP PLACEMENT PROCESS
Procedure
Purpose:
To ensure the effective operation of the Retirement Plan Committee by maintaining active participation from all members.
Procedure:

Attendance Requirement:
Committee members recommended by the Retirement Plan Committee and approved by the Board of Trustees are expected to attend all scheduled meetings.

Absence Policy:
If a committee member misses two consecutive committee meetings without an unavoidable reason, the committee may vote to replace the member.
Unavoidable reasons include, but are not limited to:

Severe illness or medical emergency

Death or serious illness in the immediate family

Natural disasters or other major unforeseen emergencies

Required professional obligations

Removal Process:
The committee may vote to recommend the replacement of a member who misses two consecutive meetings without an unavoidable reason. The member, after receiving a letter and/or an email, will have the option to resign if his/her schedule no longer allows him/her to be present at meetings before a majority vote by their fellow members is required to proceed with a replacement member.

Replacement Process:
Upon recommending the replacement of a member, the committee must identify and recommend a new member by a simple majority vote.
All new member recommendations must be submitted to and approved by the Board of Trustees before being appointed to the committee.
